What is a Power BI report?

A Power BI report is a multi-perspective view into a dataset, with visuals that represent findings and insights from that dataset. A report can have a single visual or many pages full of visuals.

How to Create a Q&A visual in a report in Power BI ?

To create a Q&A visual in a report in Power BI, follow these steps:

Step 1: Open Power BI Desktop:

  1. Launch your computer and go to the Start menu or desktop.
  2. Look for the Power BI Desktop icon. It usually appears as a yellow icon with a line graph on it. If you don’t see it, you can search for “Power BI Desktop” in the search bar located in the Start menu or taskbar.
  3. Once you locate the Power BI Desktop icon, double-click on it to open the application.
  4. Power BI Desktop will start loading, and you will see the splash screen with the Power BI logo.
  5. After the application loads, you will be presented with a blank canvas to start creating reports and dashboards.
  6. Please note that you need to have Power BI Desktop installed on your computer in order to open it. If you haven’t installed it yet, you can download it. Step 2: Load your Data / Get Data:

  • Method 1: Click on โ€œExcel Workbookโ€ from Home Tab (If your data is in excel)
  • Method 2: Click on โ€œImport Data from Excelโ€ from Canvas (If your data is in excel)

Method 3: Click on โ€œGet Dataโ€ from Home Tab. A drop down list will appear with various data source options. You can choose from options E.g. Excel

  1. In the Home tab, click on the “Get Data Icon” button.

2. A window will appear with various data source options. Select the data source that contains the data you want to load into Power BI Desktop. You can choose from options Eg. Excel.

3. Then Click on Connect.

4. In the next window, you may need to provide specific details or credentials based on the data source you selected. For example, if you selected an Excel file, you will need to browse and select the file from your computer.

Once you have provided the necessary details, click on the “Open” button to load the data into Power BI Desktop. It will be easy and quick when the data is already clean & transformed. Below screen will appear as connecting the data to Power Bi.

5. After connecting the data, it will show the Data source in Power Bi. In this example- File name is Power Bi Dataset Example.xlsx ( Excel File ). Also it will ask you in whole excel file which sheet is your data. In this example there is only single sheet of List of Orders. We have to select the sheet that contains our data. Blue tick will appear in check box.

6. Then Click on “Load”. In this example the data is already clean so there is not need of Transforming data. If you want to transform or shape the data before loading it, you can click on the “Transform Data” button to use Power Query Editor.

Power BI Desktop will load the data into the application, and you will be presented with the “Report” view where you can start creating visualizations and analyzing the data.

    3. Design your Report / Add a Q&A Visual:

    Once your data is loaded, you will be in the “Report” view. This is where you can design and create visualizations. To create a visualization there are two methods.

    • Method 1 : Double click on Canvas, Q & A tile will appear in Canvas
    • Method 2: Click on “Q&A Icon” In “Visualizations Pane”, Q & A tile will appear in Canvas.

      4. Interact with the Q&A Visual:

      To interact with the Q&A visual, click on the text box inside the visual and start typing your question or query using natural language. As you type your question, Power BI will dynamically generate suggested visualizations and answers based on your query.

      For example, you can ask question, “Sales by Region?” As you type your question, Power BI will dynamically generate suggested visualizations and answers based on your query. Then click on standard visual icon on right side of text box to see the default visualization based on your query.

      You can interact with the visualization. For that you have to click on the visualization tile which is generated then click on type of Visualization you want Eg. Pie Chart in Visualization Pane.

      As a result the “Bar chart” will convert into Pie Chart”. Same as you can resize/ move the generated Visualization.

      Drill down with interaction

      You can interact with the visualization by applying filters, drilling down, or changing the visualization type etc. just like you would with other visualizations in Power BI.

      In this example we have ask following other questions like – Sales by Category, Sales by Category and Region, Profit and sales by year by using Q&A Feature. For interaction with report. Click on any specific criteria eg. Furniture in Sales by Category. Once you click on furniture all visualizaiton will be drilling down automatically related to Furniture.

        The Q&A visual in Power BI Desktop provides an intuitive and interactive way to explore your data using natural language queries. Experiment with different questions and queries to discover insights and create dynamic visualizations.
